Job Description

The Front Office & Events Specialist’s duties include offering administrative support across the organization. The receptionist welcomes guests and greet people who visit the business. The receptionist also coordinates front-desk activities, including distributing correspondence and redirecting phone calls.

Key responsibilities and accountabilities:

  • Manages the reception desk, receiving all visitors and colleagues in a professional, friendly manner
  • Acts as a first point of contact for all queries from visitors, focusing on customer service
  • Receives and directs incoming calls, mail and e-mail, prioritizing communications as appropriate
  • Organizes meetings and managing databases
  • Books transport and accommodation
  • Deals with correspondence, complaints, and queries
  • Maintains calendars and appointments
  • Coordinates the maintenance of office equipment
  • Liaises with Catering Department to coordinate requirements for meetings
  • Helps to develop employee-focused services: perks, food-truck schedules and options, accommodation and mobile phone services, business cards requests, wellbeing activities, gifts and goodies
  • Manages the logistics of internal monthly events and communication
  • Photocopies, scans and maintains records
  • Maintains security by following procedures, monitoring logbook, and issuing visitor badges
  • Keeps a safe and clean reception area by complying with procedures, rules, and regulations

Qualifications

 

Qualifications and Experience:

  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Advanced skills with full suite of Microsoft Office products, notably Outlook / Excel / PowerPoint / Word
  • Proven ability to use a variety of multimedia communication tools (WebEx, video/teleconferencing) and internal software systems (expenses, procurement, CRM, meeting room, booking system etc.)
  • Knowledge of using professional visitor registration system
  • High school degree: additional certification in Office Management is a plus
  • Fluency in both English and French
